1. Scope
This Privacy Notice explains how Coveniq processes personal information when individuals visit coveniq.ai, contact us, request a workflow diagnostic, participate in sales or implementation discussions, or use a customer workspace made available under an agreement with their organization.
2. Information we collect
Website and enquiry information
We may collect names, business contact details, company and role information, the content of enquiries, workflow descriptions, system information voluntarily submitted, and technical information such as IP address, browser type, device information and basic request logs.
Sales and implementation information
During discovery and delivery we may receive information about process owners, administrators, reviewers, project participants, system contacts, contractual requirements and customer workflows. Customers should avoid providing production data or sensitive personal information unless it is necessary, authorized and covered by the relevant agreement.
Workspace information
Where a customer workspace is provided, Coveniq may process account identifiers, authentication and authorization events, workflow configuration, execution records, approvals, support communications and other information necessary to provide, secure and support the service. Customer content is handled according to the customer agreement and applicable instructions.
3. How we use information
We use personal information to respond to enquiries; assess workflow suitability; prepare proposals and statements of work; provide, secure and support customer workspaces; administer users and integrations; investigate incidents; maintain business records; improve service reliability; comply with legal obligations; and protect the rights, property and security of Coveniq, customers and users.
4. Legal bases
Depending on the jurisdiction and context, processing may be based on steps requested before entering a contract, performance of a contract, legitimate interests such as operating and securing our business, compliance with legal obligations, or consent where required.
5. Service providers and disclosures
We may use hosting, security, communications, analytics, customer relationship management, professional advisory and other service providers. They may process information only for the services they provide to Coveniq and subject to appropriate contractual obligations. We may also disclose information where required by law, to protect legal rights, in connection with a corporate transaction, or at the direction of a customer acting as controller of workspace data.
6. International transfers
Coveniq and its service providers may process information in countries other than the individual’s location. Where required, appropriate transfer mechanisms and contractual protections are used.
7. Retention
We retain information for as long as reasonably necessary for the purposes described in this notice, including the duration of the business relationship, contractual support periods, legal limitation periods and security or audit needs. Customer workspace data is retained and deleted according to the applicable agreement and documented instructions.
8. Security
We use administrative, technical and organizational measures designed to protect information against unauthorized access, loss, alteration or disclosure. No method of transmission or storage is completely secure, and users should report suspected issues to security@coveniq.ai.
9. Your rights
Depending on applicable law, individuals may have rights to access, correct, delete, restrict or object to processing, request portability, withdraw consent, or complain to a supervisory authority. Requests relating to a customer workspace may need to be directed to the customer organization that controls the data.
